Call in one minute before the call is scheduled to begin. You may need a moderator code to begin a recording of the conference call for people who had to miss the call, as well as be able to manage sound and other administrative features. 9:00-9:05pm WELCOME (ask for first name and where from; make a list) (You want to be friendly, inviting and have an “up” but natural tone.) 9:06-9:10pm OPENING – SET CONTEXT a) Introduce yourself “I am Jacquie Damgaard, your facilitator for this call. Would everyone have a pen and paper handy in case you want to make any notes as we talk tonight?” b) Qualify yourself “I own an Exec and Org Coaching firm that specializes in working with female physicians. I have been leading teleforums for over 15 years, everything from 1 session calls to training programs that span an entire year. In 2004 I designed and taught a year long program on leadership skills for women plastic surgeons. It was done entirely in a teleforum format (2 calls per month) and ran for three consecutive years. I was delighted to be asked to teach this course tonight and am very happy to be back with you again.” c) Establish call etiquette “Before we get into the content of our call tonight I just wanted to establish a few ground rules that will really help our call go smoothly.” 1) The call this evening will last approximately 75 minutes. 2) It is extremely important to be in a very quiet place without any background noise (dogs, kids, clanging dishes, typing, heavy breathing, etc can all disrupt the call! ); 3) If you do have sound around you, you can mute out your phone by hitting *6 on your keypad; then hit *6 to unmute it again; 4) Ideally you will be on a corded phone, rather than a cordless or cell phone, but muting will help if you are unable to do that; 5) Please do not put us on either speaker phone or on hold; 6) Whenever you wish to say something, give your name first so that we can know who is talking (e.g., This is Jacquie and my question is________); 7) And finally, if we have some unexpected difficulty with the line, please write down this back-up number. If needed, I may have to ask everyone to switch lines. d) Announce Topic “Our topic for this evening’s call is How to Lead a Dynamic and Effective TeleSeminar.” e) Establish relevance of the topic “As you probably already know, in the past 10 years teleforums have become one of the fastest growing technologies for group meetings of all kinds. They are extremely efficient because they allow people from all over the world to participate together from the comfort of their own homes or offices. The purposes can include classes, team meetings, board meetings, planning sessions, coaching or mentoring sessions, really any agenda for a group meeting. All you need is a telephone and a bridgeline and you’re all set! In some settings, webcams are integrated into the process so that you can see the other participants, as well as hear them. Webinars are also being used so that you can see a Power Point presentation during the call. And technologies such as GoToMtg allow you can to see the screen of the presenter’s computer and actually modify or build a document together on that screen as the call proceeds. We currently use all of these technologies in my office. In the case of your quarterly teleforums, the calls can be a great opportunity to both learn from one another and continue to stay in touch with and strengthen your women’s community all at the same time.” Tonight I am going to train you in some of the basics of leading teleforums. 9:11-9:15pm ASK A COMPELLING QUESTION This begins to involve the group in co-creating the experience of the call; at the same time you will also begin to discover the most important needs and interests of those present. First let’s find out the level of experience of the participants in our call tonight. If you have already led a teleforum and feel relatively comfortable with the process, hit 5 on your keypad. If you have led a teleforum before and have many questions resulting from your experience, hit 5 on your keypad. If you have never led a teleforum before, but would like to try it, hit 5.
